A useful cloud proposal describes the outcome, the evidence needed to accept it and the responsibilities that continue after launch.
Workloads and dependencies
List the apps, identities, files, mailboxes and integrations in scope. Name a business owner for each essential workflow, test a representative pilot and record unsupported items before approving the move.
Residency requirements
Record where required data must be stored and which services and data types that requirement covers. Check the vendor terms, tenant configuration, backup provider and connected apps separately. For Microsoft 365, the Data Location card guidance distinguishes current geography from committed geography for in-scope data. A Canadian service provider does not establish the location of every cloud copy.
Cutover and recovery
Agree the change window, go/no-go owner, communications and fallback decision points. Define backup scope, retention and a representative restore test. Record achieved results separately from recovery targets; a configured job does not prove recovery.
Costs and ongoing ownership
Separate project work, subscriptions, migration tools, backup and ongoing support. Confirm commitment periods, renewal dates, change approval and support coverage. Include administrator handover and unresolved exceptions in the acceptance record.
